Business Office, Refund Calculation
Volunteer State Community College | Business & Finance Division
2008-2009 Information
The Tennessee Board of Regents has instituted a new system wide policy effective Fall 2007 for calculating refunds. The change will impact students who have 12 or more credit hours and then drop to less than 12 credit hours more than those students with a part-time status. To view TBR policy goto: http://www.tbr.edu/policies_guidelines/business_guidelines/B-060.htm item XII Refunds and fee adjustments.
Under the new guidelines, fee adjustments will be based on courses dropped. Students who register for 12 or more hours and then drop to less than 12 hours or withdraw completely during a fee adjustment period will be assessed a prorated fee for dropped hours. For example, fees for a student registered for 15 hours that drops to 9 hours during the 75% refund period, will be re-calculated for 9 hours at the full rate per hour and 6 hours at 25% of the rate per hour. The difference between the re-calculated fees and the original tuition would be the refund to the student.
Fees are adjusted based on the date the drop/withdrawal is processed through Pride Online, or the date the drop/withdrawal is prepared by the Records office. Please refer to the chart below for refund dates.

Students who choose to defer a portion of their fees will still have a balance due under the deferred payment plan. Fees will be recalculated based on the drop/withdraw date. The refund percentage will NOT be applied to the amount of payment, but as a percentage of adjustment of total fees. A refund would only be issued if the adjusted amount of fees is less than the amount paid by the student.
The following example shows the effect to a student who is enrolled in 15 hours and drops to 9 hours during the 75% refund period:
- Fee assessment on 9 enrolled hours - $990.00
- Fee assessment on 6 dropped hours - $165.00
- Total adjusted fee assessment - $1,155.00
- Original tuition amount - $1,294.50
- Refund due student - $139.50
The following example shows the effect to a student who is enrolled in 15 hours and drops to 9 hours during the 25% refund period:
- Fee assessment on 9 enrolled hours - $990.00
- Fee assessment on 6 dropped hours - $495.00
- Total adjusted fee assessment - $1,485.00
- Original tuition amount - $1,294.50
- Refund due student - $0.00
*Maximum fee cap applied if adjusted fee assessment is greater than $1,294.50
