Human Resources, Faculty Credentials, Requirements & Procedures

Volunteer State Community College | Business & Finance Division


Volunteer State guarantees that only appropriately credentialed individuals serve on the faculty. All original documents are in files maintained in the Human Resources Department. Credentialing files are recorded in the Adjunct Database, a program that is kept current and is maintained by the Office of the Vice President of Academic Affairs, the Department of Human Resources, and the respective academic Divisions involved. The database will retain, indefinitely, credentialing information on those who are employed.

It is the responsibility of each individual faculty member to provide to the Human Resources Department current, official transcripts of all collegiate coursework or other documentation necessary to meet Volunteer State credentialing requirements. Only original, not “issued-to-student”, copies of college transcripts will suffice.

The credentialing file content in the Adjunct Database is compiled and approved by the appropriate Division Dean. The Vice President of Academic Affairs reviews and approves all exceptions to established criteria. Division Deans conduct periodic reviews of the files to assure current content (at least annually).

The Vice President of Academic Affairs will coordinate the credentialing process between Division Deans and the Human Resources Department. Academic Affairs, through the Adjunct Database, will maintain credentialing files that include the matching of degrees, coursework, training, certifications, and experience to the specific Vol. State course or courses the person is qualified to teach. The Human Resources Department will maintain the official College Human Resources file including applications, transcripts, and other required documents.

Annually, the Vice President of Academic Affairs will conduct a random audit of the credentialing files. Results of the audit will be provided to the President, Director of Human Resources, Division Deans, and the Vice President of Institutional Effectiveness, Research Planning and Assessment.

Volunteer State faculty credential requirements meet current SACS criteria. Our faculty will meet or exceed SACS minimum requirements. Faculty who fail to provide official credentials in a timely manner will not be paid and may be relieved of their teaching assignments. Division Deans will notify faculty when files are incomplete.
